Previous Draft

  • Jan's comments are in green.
  • Is there need/desire for a wiki training session?
  • Recent visitors expressed a desire for more concrete plans regarding layout, housing style, aesthetic concerns. Our take to-date has been that these are too important for us to impose on future members. Should we re-visit that, and if so, begin site design in earnest, rather than the tentative, piecemeal way we've been making changes?
  • No work party as part of this?
  • Some of the times seem pretty short. 45 minutes to review recruiting, for example? Might it be better to have fewer topics and longer times? (He says as he introduces more topics... :-)
  • I have volunteered to facilitate most of the things in March, since I have that role for the quarter, but would gladly relinquish should anyone else have a burning desire to facilitate a particular session.

Penny's comments are in purple

Monday, 30 March

9:30am-12:00pm (CLASSROOM)

  • Intro (check in, announcements), (15 min)
  • Review values in relation to retreat and group process. Read aloud for everyone to digest. (30 min) Facilitator - Jan, Recorder - ???
  • Discuss aesthetics in relation to our values. Determine if values need to be adjusted to reflect the group's view of aesthetics, set plan and timeline for adjustment. (60 min) Facilitator - ??? Recorder - ???
I don't think we should even suggest "adjusting values" until next winter. (I think someone volunteered to steward this for next winter.) I am unwilling to be constantly questioning our values. It feels wishy-washy, it's a significant energy drain, and it confuses our direction to be questioning our values each time we have some controversy. Rather, we should be looking to our existing values to resolve controversy.

I see great benefit from starting out the retreat with a review of the values and of group process. Given the time (30 minutes) this would need to be understood as only a review/reminder to set a sort of intention for the week, or be given more time.

  • 10:45am Break (10 min)
  • Compassionate Communication practice session (55 min) Facilitator - ??? Recorder - ???

I'm curious as to whether this is a generic excerse for practicing compassionate communication or if we'll be taking a real issue and trying to find resolution using compassionate communication or some third idea that I have not thought of.

  • Check out, announcements (10 min)

7:00pm-8:30pm (CLASSROOM)

  • Discuss the $800,000 debt and strategies to pay it off, whether it needs a steward or committee, discuss goals and timelines, worst case scenario and backup plans., (60 min) Facilitator - ???, Recorder - ???
  • 10:55am Break (10 min)
  • Recruiting: getting additional quality members. Review/revise current practices and methods. (45 min) Facilitator - ???, Recorder - ???

I think we will need substantially more time to talk about recruiting. In addition to brainstorming actual recruitment ideas, we'll need to make sure we're all on the same page as to types of persons we want to attract.

  • Check out, announcements (10 min)

2:00pm-3:30pm (CLASSROOM - Bring boots for walking in fields) (OPTIONAL)

  • Do walking tour discussing the location and sizes of the outdoor kitchen, campground, compost toilets. (kid friendly) (90 mins) Facilitator - ???, Recorder - ???

6:00pm-8:00pm (YELLOW HOUSE) (classroom NA)

  • ING potluck & Meeting

Thursday, 2 April

9:30am-12:00pm (CLASSROOM)

  • Intro (check in, announcements), (15 min)
  • Discussion on farm profit center budget ideas. What do we harvest and when? Do people pay for it? Do labour contributions count towards harvest?, (75 min) Facilitator - ???, Recorder - ???
  • 11:00am Break (10 min)
  • Discuss co-op share structure.
    • Class B shares- What are the compensation options to a member for their class B shares?
    • Class A shares- If the co-op funds a capital improvement project from restricted funds, does this raise the value of the co-op? If a member/resident funds a capital improvement project within a household, does this raise the value of that household in relation to their vesting agreement? Discuss the advantages and disadvantages of adjusting the value of the co-op's assets. (45min) Facilitator - ???, Recorder - ???
These appear to be basic bookkeeping questions, with concrete answers. Do we really need to spend retreat time on them? Or is this the sort of thing that can be easily addressed via email or an "interpretative work" web page?
      • Class B shares are non-redeemable, except upon dissolution of the co-op or special resolution of the members -- see coop rules.
      • Capital improvement projects do not "raise the value of the co-op" if paid for from restricted funds, but do if paid for from the issuance of new Class A shares.
      • Member funding of capital improvements increases their number of Class A shares, but subsequently increases the value of whatever was improved by an identical amount. It does not reduce the outstanding value of any dwelling they are currently vesting through payments, any more than adding a $20,000 spa would reduce a bank mortgage by $20,000.
      • Not sure what is meant by "adjusting the value of the co-ops assets." Standard accounting practices determine the assets, such that they equal and balance liabilities. If you "adjust the assets," you must adjust the liabilities (shareholder equity) as well. Or did you mean the distribution of profit by issuing dividends
  • Check out, announcements (10 min)

2:00pm- 3:00pm (CLASSROOM) (OPTIONAL)

  • Group art project ie. mosaic, mural, etc. (Kid friendly) (60min) Facilitator - ???, Recorder - ???

7:00pm-8:00pm (YELLOW HOUSE) (classroom NA)

  • Sit in on Jan's permaculture class? Movie? Games?

What is Jan's permaculture class?

Friday, 3 April

9:30am-12:00pm (CLASSROOM)

  • Intro (check in, announcements), (15 min)
  • Facilitated discussion about menus and menu planning, (30 min) Facilitator - ???, Recorder - ???

Is this something requested by the menu planning steward? I'm not sure of the need for this outside of steward's counsel in a member meeting so maybe I need to be brought up to speed.

  • Facilitated discussion about programs (30 min) Facilitator - ???, Recorder - ???
  • 10:45am Break (10 min)
  • Facilitated discussion about children in the community, childcare, and the childcare policy request. (50 min) Facilitator - ???, Recorder - ???
How about some more detail on how this would work? I think we've had several "facilitated discussions" that have led nowhere. My original suggestion was a themed heart circle. There is emotional content that needs to be freed up here.
  • Check out, announcements (10 min)

1:30pm- 4:30pm (CLASSROOM) (OPTIONAL)
